NADP/NTN Dry Sample Envelopes – For weeks with no precipitation, NADP/NTN site operators can choose to return the Field Observer Report Form (FORF) and Belfort raingage chart via U.S. mail. This saves the cost of shipping back the empty 1-L sample bottle. (Sites will need to provide standard 1 ounce first class postage.) The CAL provides preprinted return envelopes upon request. Request them by calling 1-800-952-7353, e- mail ntn@isws.illinois.edu, or write “NEED DRY SAMPLE ENVELOPES” in the Remarks section of your FORF. Sample On/Off Dates and Times – We often receive FORFs with sample dates and times that overlap with previously submitted samples, and sampling time gaps between weekly samples. Please note these helpful tips: 
  • Sample ON and OFF times can be rounded up to the next 15-minute increment. For example, a sample removed at 8:01 on Tuesday January 6, can be written as 01/06/09 0815 in Block 3 of the FORF. (Sites with E-gages already follow this protocol.)
  • Check the pink copy on-site for the previous week’s sample to ensure there is no overlap between the OFF time of the previous sample and the ON time of the current week’s sample.
  • Please make a note in the REMARKS section to explain any sampling gaps greater than 1 hour. For example, if you performed equipment maintenance between samples, write “01/06/09 0815 to 01/06/09 1100, performed equipment maintenance.”

Electronic Reports Available – The CAL can send your preliminary data reports in PDF file format as an e-mail attachment. The PDF file is the same as the hard copy you currently receive. If you wish to receive electronic reports, please confirm that your e-mail address is correct as shown above, and contact us at cal@isws.illinois.edu.
 

Dry Sample Envelopes – We’ve included a Dry Sample envelope in this mailing for your convenience. To request more, call 1-800-952-7353, e-mail ntn@isws.illinois.edu, or request them on your FORF. For instructions, see http://nadp.isws.illinois.edu/cal/PDF/DrySampleEnvelope_Jan09.pdf. If you run out of envelopes and have a dry sample to submit, attach the sample barcode label to the back of the envelope and mail the FORF and raingage chart to:

Record Retention of Field Forms and Raingage Charts
  • Notes on Dry Return Sample Envelopes – You should continue to process USGS Field Audit samples on a dry week. There is no need to return the sample form or Belfort raingage chart in a separate dry return envelope; rather return these documents in the sample box as instructed.
  • Please remember to return unused sample bottles in your next big box of used supplies. They will be rewashed and reused.
  • Please give us a call (800) 952-7353 if you have any questions about dry return envelopes or would like to request more. You can also request the envelopes on your FORF.
Record Retention of Field Forms and Raingage Charts – We’ve had some questions about how long site operators should store field forms, raingage charts, and monthly data reports. The CAL may occasionally contact you with questions about sample data, so we request that you keep these documents for a minimum of 2 years. So . . . feel free to recycle pink FORF copies and raingage chart photocopies older than March 2007.
Special note to E-gage site operators -- Please don't forget to note precipitation types in block 7 of the Field Observer Report Form (FORF) Thank you!
